Make a test call

Dial your AI receptionist + verify the configuration works end-to-end.

You've configured the greeting, voice, hours, and previewed the prompt. Now the real test: call your number and hear it.

Step 1 — Find your number

In your dashboard: SettingsAI ReceptionistPhone routing section. The number shown is yours.

It looks like +1 (XXX) XXX-XXXX — a real US local number, not toll-free.

Step 2 — Dial it

From a phone — not the web. Test calls from your business landline if you have one; from a cellphone if you don't.

Three things happen in the first few seconds:

  1. Ring — typically once or twice, then connects.
  2. Greeting — the AI plays your Greeting line (or bilingual greeting if you set both languages).
  3. Listen — the AI listens for your response.

Step 3 — Test the core flows

Try each of these, one call per test. Hang up between calls.

Test 1 — "Just calling to say hi"

Say: "Hi, just calling to see if you're open."

Expected: AI confirms your hours politely. May ask if there's anything else.

Test 2 — Book an appointment

Say: "I'd like to book an appointment for [type of service]. Earliest available."

Expected: AI asks for your name, callback number, the kind of service, urgency. Reads back the booking details. Sends you an SMS confirmation within 60 seconds (check the number you're calling FROM).

Test 3 — Emergency / urgent

Say: "It's an emergency — my [thing] is broken. I need someone today."

Expected: AI detects the urgency. Either books an emergency slot OR pages the on-call person (depends on your after-hours config).

Test 4 — Spanish (if bilingual)

Say: "¿Hablan español?"

Expected: AI switches to Spanish for the rest of the call. Continues handling the conversation in Spanish — booking, capturing, everything.

Step 4 — Check the dashboard

Within 60 seconds of hanging up, your dashboard at /client/calls should show:

  • A new call row with your number as the caller
  • The transcript (full, both sides)
  • The stereo recording (you on one channel, the AI on the other) — clickable to play
  • Any lead, booking, or callback the AI captured

If the call doesn't appear in the dashboard within 5 minutes

Email support with the time you called and the number you called from. We can pull the call from Vapi's records — recordings are retained for 14 days so we have time to debug.

Common issues

What's next

After the test call works:

  1. Update your Google Business Profile + website with the new number.
  2. Tell your team about the AI receptionist + how transfers work (so they know what to expect when a call hands off to them).
  3. Watch the dashboard for a few days. Adjust hours, transfer triggers, or greeting wording as needed.
  4. Ask us about add-ons — calendar sync, AMS integration, photo upload, recall list — anything else specific to your vertical.
